Email Alerts - Customising which alerts we get

Hi,

Firstly can I say that the Email Alerts link under Projects is a bit misleading. My initial understanding was that I was setting which alerts I would receive only for issues assigned to me, not all issues in the Project.

Is this ability available at all? We are using 3.0.4 with the MailPlugin, however our IT person is currently attempting to setup the Scheduler.

I've read on the forums that the Scheduler provides batched email alerts instead of the spamminess of the MailPlugin but I'm wondering if it provides the ability to filter out which alerts are received and if so, how?

For instance, I don't want an alert for every update, comment, change etc on the issue, just one when it is created, but another user may want this. Currently with MailPlugin I get 2 alerts when a new issue is created and assigned to me, one for CREATED and one for ASSIGNED.

Also, anyone who was assigned to the issue at any point receives all these emails. I would like our users to have the ability to choose if they want to receive these or not, as we will have issues being generated by email using the MailBoxProcessor sending to a group mailbox which then forwards via a rule to a list of users. This will create a lot of unwanted emails which users will begin to ignore, defeating the purpose!

I've read that a level of customisability is available, however could someone please explain how to do this in more detail for me please as I will have to explain, very clearly, how to do this to our IT person.

Users can configure this via the email alerts link (top right) of the project's home page (for each project).

You also have global setting for automatically adding users as issue "watchers" when they are assigned to an issue or to the issue creator. This is done in the admin section -> notifications.

When I use the Email Alerts link you described, I get alerts for ALL issues in the project, not just issues I am assigned to or am watching. Is this intended? I have tested this with my login and a test user account going to a different email address with the same results.

Firstly, the Scheduler will batch up emails to greatly reduce the email traffic (e.g. created issue and assigned to me == 1 issue alert).

Secondly, each user can completely turn off all alerts across all projects.  They can also choose which alerts they want.

Thirdly, there are a couple of settings under Administration --> Notifications that globally control if an issue resource automatically gets an email. Turn these off if you wish.

As for installing Gemini Scheduler, you need two things:

1. The URL to your Gemini installation
2. Valid Gemini Administrator login details

Yes I'm aware that we can turn alerts off entirely, its the second bit you said that I need more help with.
I don't want to receive alerts for issues that don't pertain to me, but I would like a level of customisation on the issues which do. Hopefully that makes sense, but let me elaborate if I may.

I can set my profile to send alerts or not. Then under the Project home I can select a range of alert settings such as alert me when a comment is made etc.
Say for example I would like to receive alerts when a comment is made on issues I am watching/assigned to but not on ALL issues in the project.

Is this possible? Is it intended that the alert settings under Project home effect ALL issues in the project rather than just mine? Seems crazy to me. Especially as you say users can choose which alerts they want.

Yes I have set these to Email Issue Creator: No, Email Issue Resource: Yes and Email Alerts Enabled: Yes.

I am not the server administrator here so I am unable to set up Scheduler, however they are working on it currently and have contacted you guys via email regarding the issues they are having.

All you have to do is de-select all alerts in the project home page and set yourself as watcher to issues you want to receive alerts for.

I don't think you understand what I'm asking. I know how to set which issues I get alerts for.
What I'm asking is if you can customise which alerts you get for those issues, i.e. Create only, or when comments are added etc.
Judging from the responses so far I'm guessing not.

This seems crazy to me. Why have such a level of customisation on All Issue alerts by Project but not for just the issues the user would ordinarily receive alerts about (issues assigned to them or that they are watching). I can't think of many circumstances in our Gemini setup where anyone would want to receive alerts for an entire project.

I think I understand your point.

You only want to receive alerts for issues you are either watching ot assigned to.  For example: "only receive comment added alerts for issues that I am assigned to".

Right?

Yes. I'd like the same level of customisation that is available at a Project level, so users can choose which alerts to receive for only issues they are assigned to/watching i.e.

 Receive alert when issue is CREATED  Receive alert when issue is UPDATED  Receive alert when issue is DELETED  Receive alert when COMMENT is added to issue  Receive alert when resource ASSIGNED to issue  Receive alert when issue is CLOSED  Receive alert when issue is RESOLVED  Receive alert when issue STATUS changes  Receive alert when issue RESOLUTION changes
That is initially what I thought the Email Alerts section did, hence my confusion.
