Tasks in Gemini go by the default name of Items, because thanks to Gemini’s incredibly flexible framework of Project Templates, you can apply your own terminology turning “Items” into “Tickets”,”Issues”,”Queries”,”Stories” or whatever suits your processes and people. Whatever the name you choose, these Items represent things to-do and so for descriptive purposes the generic name task seems appropriate.

You can create a task from anywhere in Gemini, even in the Customization section. To create a task simply click on the plus sign on the extreme right hand side of the menu bar Create Task Icon.

Where will my task be created?

When you specify that you wish to create a task in this manner, Gemini prompts you with a drop-down list of all of the projects to which you have access and the task will be created in whichever project you select. You can also create multiple tasks at the same time, quickly and easily. To see how to do this see the documentation on Rapid Planning.

What type of task can I create?

The type of task you create and the corresponding data that will be captured will be determined by the Project Template that your project derives from and your permissions for each of the processes that your projects define.

For example, if your Project Template defines two different processes; “Tickets” and “Tasks”, the data that is captured for a process of type “Ticket” may well be very different for the data that is captured for a process of type “Task”. Whether this is significant depends entirely on whether the screen you are using for the type that you select has the field “Type” as an accessible field for members of the Group(s) that you are in, when you are “Creating” an entry. If this field is not accessible to you then you cannot change the “Type” of process you are capturing data for. This might be the case if say a project is defined for a Help Desk and the only things that the Help Desk group do is create Tickets.

If you have access to the field “Type”, then when you are creating a new task you can select which Type of Process you are creating an entry for and Gemini will dynamically alter the screen so you are presented with the appropriate fields, with the appropriate visibility settings for those fields. For this reason, if you are creating projects with more than one Type of Process and you wish users to be able to select which Type they want, you are advised to put the field Type at the top of the screen so that it is the first thing they are prompted with.

Can I change the type of task I create?

Yes. Gemini is flexible enough to allow you to change tasks from one Type to another. Provided you have access to the Type field, just select the new Type and Gemini will hide the fields that are not part of the new Type and expose the fields that are. Because Gemini also contains the ability to set default values for all fields, regardless of Process Type, in a Project Template, you can move from one Type to another and find that the correct values are pre-populated.

How else can I create tasks?

From 3rd Party systems

Gemini has a comprehensive REST-based API that will allow you to create items of any type from external systems. 

From the Breeze application

Breeze is a Gemini add-on that can generate new tasks in any project in the system, from emails. In addition to listening to mailboxes, Breeze has an Outlook plug-in that lets users create tasks in Gemini from emails that are sent to their personal email addresses. The Outlook connector gives the option to a) Create a task (or "Case" as it is in Breeze) , b) Reply to the email or c) Create a task in Gemini and Reply. Once a task has been created in Gemini the Outlook connector continues to allow the user to view the task from the email. 

From the Planner

Gemini’s Visual Planner is so flexible you can create a new task simply by right-clicking in the area of the cards. Users will get a “New” prompt and if selected a task will be created using the Project Defaults and simultaneously placed in the plan view, in the sequenced order that the user select.
